Unless explicitly stated otherwise in this Privacy Policy , the general information on data protection at the University of Bern applies with regard to data protection.

The following points also apply:

Access data / server log files

Alumni UniBE collects data about access to the Alumni portal (so-called server log files). The access data includes: Name of the website accessed, file, date and time of access, amount of data transferred, notification of successful access, browser type and version, the User’s operating system, referrer URL (the website visited previously), IP address and the requesting provider.

Alumni UniBE only uses the log data for statistical evaluations for the purpose of operation, security and optimization of the website. Alumni UniBE reserves the right, however, to subsequently check the log data if there are specific indications that there is a justified suspicion of unlawful use.

Processed data, processing purposes

Alumni UniBE processes the data that Users disclose to Alumni UniBE when registering on the Alumni portal and that they enter in their profiles and/or subsequently change and store for the purpose of evaluation and uses this data to send information and newsletters on topics relating to the University of Bern, careers, events, offers and services as well as to manage user registrations for courses and events.

In addition to the data provided by Users themselves, Alumni UniBE also collects and processes various data relating to the use of the Alumni portal by Users. This is the time of the last login, number of logins, time of registration (date and time). The purpose of processing this data is to make the Alumni portal fully accessible to Users and to improve the usability of the web platform for Users. In addition, Alumni UniBE uses the usage data collected in this way for statistical purposes in order to obtain information about the use of the Alumni portal and to be able to adapt its functions and the offers available through it and, if necessary, expand and improve them.

Legal basis of data processing

The basis for the processing of personal user data for the stated purposes is the corresponding declaration of consent (Art. 6 (1) (a) GDPR) of the Users. Users can revoke this consent at any time by sending an informal e-mail to office@alumni.unibe.ch. This does not affect the lawfulness of the data processing up to the time of revocation.

Voluntary nature of data provision

There is no obligation for the Users to provide data. However, Users cannot use the Alumni portal without providing certain basic data when registering (name, branch of studies, contact details): When registering on the Alumni portal at myalumni.unibe.ch, it is mandatory to provide your title, last name, first name, street, ZIP code, town, country, e-mail, desired membership, education (institution, degree program, start and end). Optionally, a profile picture, telephone and cell phone number as well as the specialization of the degree program can be entered when registering. Users can voluntarily add further information to their profiles: Professional experience, further training, language and IT skills as well as other knowledge and skills, extracurricular activities, hobbies and interests, social networks and documents (e.g., CV). Users can specify the visibility of individual information in their profiles. Last name, first name and degree program (in the Who is Who) are displayed by default. Users have the option to revoke this standard visibility in their profile at any time. Enrolled students can register via SWITCH edu_ID.

Duration of storage

Alumni UniBE stores the data that Users provide when registering on the Alumni portal and that they enter in their profiles until Users request that the profiles be deleted.

Location of data storage

The data is hosted on a server operated by SWITCH AG, Zurich, Switzerland. The provider of the software for the Alumni portal and for data processing is TalentWerk AG, Rosenbergstrasse 60, 9000 St. Gallen, Switzerland.

Disclosure of User data

The data provided by Alumni UniBE Users during registration will only be passed on to third parties, in particular also to companies or other organizations seeking personnel, if Alumni UniBE Users expressly give their separate consent to this.

Rights of Users

In accordance with the applicable data protection regulations, Alumni UniBE Users have a right to information, the right to rectification and deletion of their personal data and, if necessary, the right to restriction of data processing. In addition, Users have the right to demand that Alumni UniBE provide the data they have collected from Users on a data carrier in a common file format or transmit it to third parties named by Users.
